1. Reservation

Reservation will be made when you agree with the itinerary and have made a deposit payment of 25% of the tour price(100% of the tour price if 75 days or less prior to the tour start date). The Operation Team at Luxe Voyage Asia will start making reservations based on the final agreed-upon tour itinerary.

Hotels and Cruises

We reserve the right to make changes to the accommodations based on availability within a similar category and budget if available. If something comparable is not available, we will provide you with options to choose from that are available.

Within 14 working days of receiving the deposit, our Operation Team will send you the BOOKING CONFIRMATION with confirmed services. Working days do not include Saturday and Sunday or public holidays. In the event of a delay in confirmation, we will keep you updated and informed as to the status with weekly updates until BOOKING CONFIRMATION is issued.

Flights

Flights within the tour will be reserved after final payment is made in full. In some instances, flights may be reserved earlier if traveling during a peak period or for non-refundable charter flights. In such a case, Luxe Voyage Asia reserves the right to require a higher deposit amount which will be informed with the invoice for the deposit.

Within 14 working days of receiving the final payment, our Operation Team will send you the TOUR VOUCHER which will contain flight times, numbers, and confirmation codes(or ticket numbers).

Tours

Tours are confirmed for availability after the deposit is made. The Tour Guides that will be assisting you in each city is confirmed after final payment is made. Within 14 working days of receiving the final payment, our Operation Team will send you the TOUR VOUCHER which will contain Tour Guide names and contact numbers for each city.

Trip Planning Fee

We reserve the right to charge a trip planning fee during the tour iteration process. This is typically requested after the 3rd tour proposal has been sent and a 4th itinerary is requested without booking. The trip planning fee will be applied toward the trip price at the time of booking. However, if no booking is made, the trip planning fee is non-refundable.

2. Payment

Payment can be made by credit card with PayWay (VISA or MasterCard) or wire transfer (bank transfer).

Except for cash payment, an additional service charge or processing charge may apply.

Detailed instructions for payment will be sent via email by your Travel Consultant. Timely payment will be required as follows:

  • Deposit: 25% of the total sum of your tour is required to be paid within 7 days from the invoice issue date. Additionally, any International Flights arranged by us will require full payment to be reserved.
  • Balance: Remainder of the total sum of your tour is required to be paid by 60 days prior to the tour arrival date.
  • Exceptions: Travel which overlaps during certain peak periods or in which activities, accommodations or flights require we make non-refundable payment to reserve may require a higher percentage for the initial deposit. A higher deposit amount will be informed on the invoice. Please contact your Travel Consultant for more details.

A detailed payment guide will be sent to you via email by your travel consultant. If full payment is not settled before the due date, unless agreed upon earlier in email, Luxe Voyage Asia reserves the right to cancel the reservation without refund.

* For purposes of this section, “International Flights” shall mean flights originating AND/OR arriving outside of the following countries: Myanmar, Cambodia, Thailand, Vietnam, Bhutan, Nepal, China and Laos.

  • Delinquent Payments: In the event that payments are not made within the schedule above, we reserve the right to cancel part or all of the tour and flights.
  • Bank Surcharge: Charges for bank transfers and other monetary transfers or processing fees(excluding credit card payments) may apply and will be stated clearly on the invoice after the payment type is chosen, if applicable.
  • Currency: Tours are quoted in US Dollars. End payment must be made in US Dollars. The client will be charged any applicable conversion fees.

3. Cancellation & Refund Policy

Any cancellations will be charged according to the following and the remainder will be refunded:

  • More than 30 days prior to tour arrival date: 25% of the tour price.
  • 29-14 days prior to tour arrival date: 75% of the tour price.
  • 13-0 days prior to tour arrival date: 100% of the tour price.
  • Please note that stricter cancellation policies may apply during peak seasons or for special charter flights, hotels, and cruise.

To begin a cancellation, an email stating your intent to your travel consultant or to billing@luxevoyageasia.com is required. Cancellation refunds will be calculated as of the date Luxe Voyage Asia receives your written cancellation request.

The 25% initial deposit can be applied to new dates for any reason within 2 years of the original deposit date as long as you notify us 30 days or earlier to the original tour arrival date. Please note that rates are date dependent and may increase or decrease depending on what the new start dates are. For any new quotation, please contact your travel consultant.

  • Exceptions: Travel which overlaps during certain peak periods or in which activities, accommodations or international flights that require we make a non-refundable payment to reserve may require a higher percentage for the initial deposit and this additional amount might not be refundable. The travel consultant must inform you about any additional deposit amount and/or more strict terms before the deposit is made for this exception to apply.

Traveler substitutions are considered reservation cancellations and are subject to the above cancellation fees.

We encourage all of our travelers to purchase a traveler’s insurance policy that will cover for common cancellations/interruptions. Please read more about traveler’s insurance here.

4. Alteration of Itinerary

Changes happen and are understandable. We are constantly working with our clients to improve the tours in a way that is best for them. Alterations to the itinerary after reservation has been made will be handled on a case by case basis. Luxe Voyage Asia reserves the right to charge additional charges and issue discounts based on the requested alterations, the time they are submitted, and other circumstances that may arise.

5. Travel Document

All clients are required to possess a 6-month valid passport and necessary visas. At times, we assist clients out of good will with travel documents.

However, Luxe Voyage Asia and our consultants are not liable for any assistance provided in obtaining visas or travel documents that result in failure. The client is responsible to obtain and verify all legal information regarding travel documents from the applicable state department.

6. Health Requirement

Each individual client is responsible to review the itinerary and determine if they’re in a healthy state to participate in the listed activities. Luxe Voyage Asia and our travel consultants are not liable for any health complications arising from the activities listed in the itinerary. It is the responsibility of the clients to advise regarding health related matters and to determine which activities are safe given their current health.

Before reserving an itinerary, the client is responsible to disclose any physical, emotional or mental conditions which may not conform to the health requirements necessary for the activities listed in the itinerary and to advise Luxe Voyage Asia of any necessary changes. Luxe Voyage Asia reserves the right to decline any trip participant which may affect client’s health and safety, or the enjoyment of other clients.

7. Luggage Allowance

Tours of Luxe Voyage Asia include 20kg checked in luggage allowance on all flights unless otherwise specified. Clients are responsible for paying for any additional fees resulting from baggage in excess of the airlines allowed luggage weight and size.

8. Insurance

Luxe Voyage Asia will carry out tour services after making sure you are properly insured. You are required to have purchase travel insurance before leaving your home country to cover at a minimum the following: medical evacuation, repatriation of remains, and medical insurance. Additionally, we encourage making sure your policy has some other benefits as mentioned in our insurance guide here.

Insurance Claims

Luxe Voyage Asia will also assist with reporting any information directly to our clients to provide their insurance companies should the need for an insurance claim arise. Any requests for information should be emailed to your travel consultant or to [email protected] specifically stating what is requested. Each package is purchased based on a per person rate. Please note that any reports provided will be based on final invoice amounts and any further breakdown of the information will be subject to the discretion of the accountant.

9. Responsibility & Liability

All staff at Luxe Voyage Asia are pleased to serve you. We will do our best to make your trip satisfactory during your tour. Luxe Voyage Asia provides Asia travel information and itinerary booking. Luxe Voyage Asia publishes travel information and services gathered at itinerary selection.

However, the responsibility of Luxe Voyage Asia is strictly limited. Luxe Voyage Asia shall not be responsible for unreasonable and negligent acts, omissions, or failure to act of any suppliers such as those of land, air, and water transportation, sightseeing excursions, cruise/hotel accommodations, or of any third party not directly owned or operated by Luxe Voyage Asia.

Luxe Voyage Asia shall not be responsible for any loss, injury, or damage to person or property, alteration of itineraries or cancellation in part or in full, caused by climatic conditions, weather, fire, breakdown of machinery or equipment, acts of government or other authorities, wars whether or not declared, civil disturbances, strikes, riots, thefts, epidemics, quarantines, medical or customs regulations, terrorist activities, or any other actions, omissions or conditions beyond the direct control of Luxe Voyage Asia.

Luxe Voyage Asia shall not be responsible for any personal valuable items stolen or lost during your trip.

Luxe Voyage Asia shall not be responsible for any loss resulting from client’s failure to comply with customs regulations, cruise/hotel/airline regulations/policies, and any applicable laws.

Luxe Voyage Asia reserves the right to make changes to accommodations, tours, and flights of equal value at any time. If Luxe Voyage Asia has canceled any tour Itinerary prior to the commencement of the tour, Luxe Voyage Asia is liable for a full refund of the money received by Luxe Voyage Asia to the client. Luxe Voyage Asia will do our best to adjust the itinerary according to your needs. However, Luxe Voyage Asia is not responsible for conflicts resulting from hotels and transportation booked solely by the client that conflict with the itinerary.

Luxe Voyage Asia reserves the right to correct pricing errors at any time, or to increase the program price in the event of cost increase due to changes in airfares, cruise fares, currency fluctuations, park fee increases, taxes, or fuel surcharges.

Luxe Voyage Asia reserves the right to vary sightseeing order if that will enable you to visit all listed excursions. In either case, the itinerary content will be maintained to the extent possible.

No refunds will be issued for unused portions of the trip or hotel in accordance with the times given in our cancellation policy.

Our representatives may provide help and advice. All activities are undertaken at your own risk. Luxe Voyage Asia shall not be responsible for any action or events that occur after its employees and agents have exercised their duty and taken the necessary care.

10. Complaints & Claims

If you feel unsatisfied with the tour service of Luxe Voyage Asia, please contact Luxe Voyage Asia or inform your local tour guide or your travel advisor immediately, in order to avoid other similar problems happening again during your trip.

If you intend to request a claim for compensation, you must contact us by email or regular mail in writing within 10 days after ending your tour to initiate the claim review. Please keep relevant receipts and substantiating evidence carefully and submit as requested. For any claims made later than 10 days after your tour has finished, Luxe Voyage Asia will not be liable to process the claim.

11. Modification or Discontinuance of Service

Luxe Voyage Asia reserves the right to modify or discontinue the terms and conditions in whole, or in part at any time with or without notice. Modifications or discontinuance of Terms & Conditions will not change any responsibilities arising out reservations made prior to the changes.
